Prerequisites

Before a parent can book:
  • The student has been added to the org (see Adding students)
  • At least one tutor has set their availability (see Setting tutor availability)
  • The parent has accepted their invite and logged into their parent account

Booking flow

1. Log in to the parent portal

Parents log in at app.classquill.com. They land on the Home page, which shows all tutors currently linked to their child.

2. Find a tutor

If a tutor is already linked to the child — click the tutor’s card on the Home page to open their profile. If the parent is looking for a new tutor — click Find Tutor in the sidebar. This shows the org’s active tutors with their subjects, bio, and availability. Click a tutor to view their full profile.

3. View available slots

On the tutor’s profile, click Book a session. A calendar opens showing the tutor’s available slots (green = open, grey = already booked or blocked).

4. Select a slot and duration

Click an available slot to select it. Then choose the session duration (e.g. 60 min, 90 min). The session price is calculated automatically based on the tutor’s rate and the selected duration.

5. Set recurrence (optional)

If the parent wants a recurring weekly session at the same time, toggle Repeat weekly and choose how many weeks to book in advance (or select “ongoing”).

6. Confirm the booking

Review the session details — date, time, tutor, duration, and price — then click Confirm booking. The tutor receives a notification. The session appears on the parent’s calendar, the student’s calendar, and the tutor’s calendar immediately.

After booking

  • Reminders — ClassQuill sends an email reminder to the parent and student 24 hours before the session.
  • Rescheduling — Parents can reschedule from the Calendar page up until the cancellation cutoff set by the org.
  • Invoicing — Sessions are invoiced automatically. Parents can view and pay invoices under Billing in the sidebar.
